Our Process: What to Expect

On this page, we offer a brief rundown of our general process, from first touchpoint to delivery. Each project is unique, so some elements may not apply to your particular project (and some many be missing). For any project that deviates from our general processes, we’ll be sure to discuss those alternative pathways together, ensuring a smooth experience from start to finish. We look forward to working with you.

Pre-Production

Pre-Quote: Share as much detail about your project, desires, goals, and expectations with us so that we can provide a tailored production package offering that is detailed and precise to your needs. This is often achieved through in-person or video-call sessions and/or through filling out our Creative and Structural Discovery Form.

Post-Quote: Once green-lit, formal pre-production will take into account location scouting (physical or digital), equipment allocation, crew requirements, travel arrangements (if necessary), prop and talent organization, general scheduling, and more. A dedicated script, outline, or treatment will be created, mapping out the production ahead. We will maintain open communication with you as these steps take place—and you’ll often be a part of the process.

Production

Production days are structured based on the needs of your project and team. We appreciate the following:

  • designate an on-site liaison—having a team member available to coordinate with us will streamline production days significantly

  • when possible, provide us site access the day prior to filming for preparation and equipment setup time

  • allocate at least 1 hour of advance site access for our team to finalize set-up on the day of filming

  • ensure a quiet atmosphere when sound-recording is planned (turn off any noisy HVAC systems, vacate personnel not being filmed, shut down any machinery unless its operation is being filmed, etc.)

  • ensure unwanted logos/items are removed or concealed prior to filming—we always help mitigate this on filming days as well, but it helps to have all eyes on deck to prevent unwanted third-party branding, clutter, or undesirable items (like garbage bins) appear in your shots (we can often remove these in post-production, but it may incur additional fees)

We want you to be a part of the filming process, and welcome your presence and input, but we also ask that you allow our team members to do their respective jobs. Ensuring you save input/notes for appropriate times, mute phones, and ensure spatial awareness so as to avoid equipment and/or getting in the shot (pro-tip: be mindful of your reflection), etc., all helps to make filming days smooth operations.

Asset Organization & Collection

As production is carried out, we encourage you to send us the following:

  • high-resolution logo files and any other miscellaneous branding materials

  • notes on copy: captions, on-screen text, personnel names (for spelling) and titles, slogans, etc.

  • additional pertinent materials: renderings, photographs, existing video footage, etc.

If your organization has an official brand guideline document, please email it to us so we can reference it during post-production.

Post-Production

During this phase, we’ll carry out editing, sound design, music/scoring, visual effects, and more…

  • expect 2-4 weeks of editing time for delivery of the first proof depending on the scale of your project

  • upon initial draft delivery, we look forward to collaborating with you to fine-tune the final product to specification based on your notes and comments

  • corrective VFX/masking tasks (eg., removing unwanted logos or other objects from a shot) may incur an additional per-fix fee of $25-$50 per instance

For most projects, we offer 2 revision rounds as part of the quoted pricing. Additional revision rounds may be subject to additional editing fees (either fixed or hourly depending on the nature of the project). These fees, if applicable, will be discussed prior to advancing to ensure full transparency and clear expectations for both parties.

Delivery & Invoicing

Delivery: With editing complete, we’ll deliver the final product(s) at the highest resolution in an easily-downloadable format through digital means like Dropbox or Google Drive. Hardcopy delivery is available (fees may apply). 

Invoicing: We typically request a 30% deposit prior to production starting, based on the project’s pre-tax subtotal. Upon project completion, we kindly request that the remainder of the invoice be paid out no later than 30 days after the invoice is issued. If a longer payables window is required for final payment, please inform us in advance so we can discuss as needed. All invoicing is subject to 5% GST.

Payment Options: Our preference is payment by cheque, e-transfer, or electronic funds transfer (EFT). We may also accept credit card or cash payment, subject to prior discussion. All payments can be directed to our incorporated parent entity: Roguescots Pictures Incorporated. Details for payment options will be stipulated on your final invoice.
